How NDIS plan management works

NDIS plan management is a funded support where a registered plan manager receives your provider invoices, checks them against your plan and the current price limits, pays the providers, and claims the money back from the NDIA. It is paid from a separate Improved Life Choices budget at a fixed monthly fee of $104.45 (NDIS Pricing Arrangements and Price Limits 2025-26), so it costs you nothing out of pocket.

It is the most common of the three management options across a scheme the NDIA’s quarterly reporting put at more than 700,000 participants in 2025. There is no longer a separate set-up charge; the 2025-26 Pricing Arrangements list one flat monthly fee nationwide. What does an NDIS plan manager actually do?

A plan manager pays provider invoices, tracks spending against each budget category, sends monthly statements, and lodges every NDIA claim so you never touch the portal. Providers invoice the plan manager directly, not you.

Your money never sits in the plan manager’s account: the budget stays with the NDIA, claimed only after each invoice is checked against your plan and the 2025-26 price limits. Plan management is financial administration only; finding services is a different support, compared in plan management vs support coordination.

How to get plan management added to your plan

The funding sits in a dedicated budget line called Improved Life Choices, added on request. It is not deducted from your Core or Capacity Building budgets, so a plan manager does not reduce your other supports (NDIS Pricing Arrangements and Price Limits 2025-26).

What is the difference between plan managed and self managed?

Both let you use providers who are not NDIS registered. The difference is who does the work: self-managers pay invoices from their own money and claim reimbursement through the portal, while plan-managed participants hand all of that over.

Self-management suits people comfortable with record keeping, since you must hold invoices and receipts for NDIA payment checks (NDIS self-management guidance, ndis.gov.au, 2025). One trade-off runs the other way: the 2025-26 price limits bind plan-managed purchases, while self-managers may pay above a cap.

What is the difference between plan managed and NDIA (agency) managed?

Agency-managed plans can only use providers registered with the NDIS Quality and Safeguards Commission, who claim directly from the NDIA. Plan management keeps the same hands-off admin but opens up unregistered providers too (NDIS guidance on ways to manage your funding, ndis.gov.au, 2025).

The other difference is speed and visibility: plan-managed invoices are typically paid in 2 to 3 business days, with budgets tracked through the plan manager’s portal or app.

Can a plan manager pay providers who are not NDIS registered?

Yes. Paying unregistered providers is the main advantage over agency management, though the invoice must fit within the 2025-26 price limits and the support must be in your plan.

The plan manager itself must be registered for the Management of Funding for Supports group and audited against the NDIS Practice Standards (NDIS Quality and Safeguards Commission, 2025). What separates one plan manager from another

The rankings above use the methodology explained at the top of this page. Every plan manager charges the same fixed fee, so price does not separate them. Four things do:

Registration. Every legitimate plan manager holds the Management of Funding for Supports registration group. Match the registration number on the NDIS Commission’s public register before signing.

Payment speed. Ask for the actual average days from invoice received to provider paid. Good plan managers run at 2 to 3 business days; slow payers strain your relationship with the workers who rely on that money.

What the fee buys. The $104.45 a month is identical everywhere, so compare inclusions: a budget portal updated as claims are made, spending alerts, and reports you can take into a plan reassessment.

Responsiveness. Across Carevo, 70 per cent of inquiries get a provider response within an hour. A plan manager slow to answer questions before you sign will be slower when an invoice is disputed.
